If you need to correct or update a note shortly after finalizing it, you can unfinalize the visit. This reopens the visit and lets you edit the note directly instead of creating an amendment.
⚠️ Unfinalize Visit is only available on the same calendar day the visit was finalized. After midnight, the finalized note can no longer be reopened this way and you'll need to use Amend Note instead.
Unfinalize a visit
Go to Notes.
Select Finalized.
Find the visit you want to reopen.
Click the three-dot (···) menu on the right side of the visit.
Select Unfinalize Visit.
Review the warnings in the confirmation window.
Check I understand and will update the PMS and any sent letters if needed.
Click Unfinalize Visit.
The visit is reopened and the note becomes editable again.
What happens when you unfinalize a visit
Unfinalizing removes the current finalized note from the visit so you can make changes. After editing, you'll need to finalize the visit again to create the updated finalized note.
If the note already synced to your PMS
⚠️ Kubo cannot remove a note/attachment that has already synced to PMS.
If the original note has already synced, delete it manually in your PMS so the patient's record does not keep an outdated copy. Finalize the visit again after making your changes so the updated note can be synced.
If letters were already created or sent
⚠️ Letters that were already sent are not recalled when you unfinalize a visit.
Sent, finalized, and edited letters remain as they are. If your note changes affect information in a letter, update the letter and resend it as needed.
Untouched draft letters associated with the visit are removed when the visit is unfinalized.
Don't see Unfinalize Visit?
If Unfinalize Visit is not available, the most common reason is that it is no longer the same day the visit was finalized. Use Amend Note to make changes to a finalized note after the same-day unfinalization window has ended.
