Using AI for Consults and Exams: Best Practices for Writing Accurate Notes

Learn how to best us Kubo Surgical AI with patient consults/exams

Updated over 6 months ago

Kubo Surgical’s AI technology is designed to streamline documentation during consults and exams. However, for the AI to generate accurate, complete, and contextually appropriate notes, the information provided by the doctor must be clear, specific, and structured.

Best Practices for Effective Communication with AI

1. Be Specific and Explicit

The AI can only process and document information that is clearly stated. Do not assume that the AI will infer details or context.

Tooth Numbers: Identify the teeth by number and location.

✅ Say: “Tooth #8 has a fracture.”

✅ Say: “Teeth #2-4 in the upper right quadrant show signs of decay.”

❌ Avoid: “Your tooth is fractured,” as it lacks specificity.

Conditions and Symptoms: Provide full context when describing a condition.

✅ Say: “The patient reports pain and sensitivity to cold at teeth #17 and #18.”

❌ Avoid: “So you have some jaw pain down there,” which leaves ambiguity.

2. Use Clear and Complete Sentences

AI performs better when communicating in full sentences rather than fragmented phrases.

✅ Say: “The patient presents with a crown on tooth #15 with an open margin on the mesial and caries beneath it.”

❌ Avoid: “Open crown and decay, tooth #15.”

This ensures the AI captures both the condition and its context.

3. Clearly Define Anatomical References

When referencing specific areas, always provide precise anatomical terms and relationships:

✅ Say: “Caries is noted at tooth #30 buccal.”

❌ Avoid: “Dark area on the side of #30.”

Providing the correct terminology eliminates the risk of misinterpretation.

4. Describe Procedures Step by Step

If a procedure is being discussed or documented, outline each step explicitly to help the AI capture the full sequence.

✅ Say: “Local anesthetic was administered in the upper left quadrant near tooth #14 before performing the root canal.”

❌ Avoid: “Did a root canal.”

5. Summarize Key Findings and Impressions

Provide a summary that reinforces key points at the end of the exam or consult. This ensures that no critical details are missed.

✅ Say: “So, in summary, Jane, you have pain localized to the lower left tooth #19 with signs of inflammation in the gum tissue. A root canal is recommended due to the infection we diagnosed.”

6. Confirm Accuracy

Once the Kubo Surgical AI-generate note is completed, review it for accuracy.

Provide thumbs 👍🏼 or 👎🏼 to provide us feedback.

When you tap on the 👎🏼, Kubo will ask for your input on how the AI for this consult could have been improved. For security and privacy, all patient information will be removed from the correspondence.

7. Stay Consistent with Terminology

Use consistent terminology throughout the consult. For example, if you start by calling a specific condition “decay,” continue to use the term “decay” instead of switching to “cavity.”

What AI Cannot Do

Guess Missing Information: If you don’t say it, the AI cannot include it. For example, if you don’t specify tooth numbers or procedural details, the AI won’t be able to document them.

Interpret Non-Specific Language: Vague descriptions like “some swelling” or “a little bit of pain” may lead to incomplete notes.

Replace Professional Judgment: AI complements but does not replace a doctor’s clinical expertise and judgment.

Practice for Best Results

Practice clear, structured communication during your consults to get the most out of AI. Consistent use of these techniques will save time and create detailed, accurate notes that enhance patient care.
