View letters shared with outside providers

Use Shares to view and track letters your practice has shared with outside providers. See who each letter was sent to, the patient it relates to, when it was sent, and its current delivery or open status.

The Shares page gives you one place to review letters that have been shared with providers outside your practice. You can use it to confirm delivery, see whether a letter was opened, and find failed or expired shares.

View shared letters

  1. Open Dashboard and go to Shares

  2. Select the tab you want to review:

    • Outbox — letters that have been sent

    • Failed — letters that could not be successfully shared

    • Expired — shares that have expired

  3. Use the Date filter to narrow the list to a specific date range.

  4. Use the To filter to show letters sent to a specific doctor.

  5. Review the letter details in the list.

For each share, Kubo displays:

  • Sent — when the letter was shared

  • Shared — the type of item shared

  • To — the outside provider, practice, and email address

  • Patient — the patient associated with the letter

  • Status — the current delivery or open status

Understand share statuses

You may see the following statuses:

  • Pending — the share is still waiting to be completed or delivered.

  • Delivered — the letter was successfully delivered.

  • Opened — the recipient opened the shared letter.

  • Expired — the share has expired.

  • Not delivered — the letter was not successfully delivered.

⚠️ Delivered confirms that the letter was delivered, but it does not mean the recipient opened it. Look for Opened to confirm that the shared letter was viewed.

Find a specific shared letter

If you have a large number of shares, use the Date and To filters together to narrow the results. You can also switch between Outbox, Failed, and Expired depending on the share you are looking for.
