What happens to recordings? Are they stored?

No audio is stored.

The system uses ambient listening technology to transcribe conversations in real time, but the audio itself is not retained. Kubo AI transcribes your the conversation in real-time and deletes the audio instantly.

Audio is NOT used to train a model.

We don't use any of your sensitive health information for model training. We only use your data for the purpose it was collected.

We do not sell your data.

Absolutely not. We don't sell patient data - ever. Our only focus is on helping clinicians ease their administrative headaches.


Do I need to ask for patient consent?

We suggest either letting the patient know in your new patient paperwork. Alternatively, just ask the patient if it is OK with them: “We use AI technology to help with note-taking. Is that OK with you? The conversation is not saved or stored anywhere” can help reassure your patients.


What happens if my patient says no to the voice features?

Patients rarely object to using Kubo AI’s voice features. However, if a patient prefers not to use them, you can still walk out of the room and use Kubo AI to summarize the appointment to create the visit note.


What microphone should I use?

For the best audio quality, we recommend using an iPad as the microphone sensitivity is ideal for AI consults and exams. To keep costs reasonable without sacrificing performance, we recommend:

  • iPad 10.9-inch (10th Generation)

  • iPad Air (4th Generation)

The iPad can be conveniently placed on the dental tray of the chair/unit. We recommend testing its positioning before patient care to find the optimal setup for your practice.

Alternatively, you can use a microphone connected to the existing computer in the dental operatory. However, the microphone must be positioned so that it can capture conversations between the doctor and patient while minimizing background noise. A recommended placement for the microphone is on the dental light, with wiring routed back to the computer for seamless integration.
